DMS Documents Pro

Document management for Dolibarr: versions, inherited access groups, full-text search, public links and automatic filing of attachments

Features

A content-addressed store
Every content is filed under its SHA-256 fingerprint. Two identical files take the room of one, a new version never overwrites the previous one, and a content is released only when no file and no version points to it any more. On disk or in the database, chosen per root directory.
A real file explorer
Unlimited tree, coloured directories, breadcrumb, list or thumbnail view remembered per user, multiple upload, bulk move, copy, delete, lock, tag and ZIP download, and a personal space for every user.
Versions, locks and online editing
Every upload is a commented version; an old version can be downloaded or restored, and restoring creates a new version so history is never rewritten. A lock carries its reason and duration, an expired lock is released by the scheduled job, and text files are edited online, each save a version.
Preview without leaving Dolibarr
PDF, pictures, text, code, Markdown, audio and video open in the file workspace. HTML is shown in a sandbox; an SVG is never rendered as is. Thumbnails are built in the background, once per content.
Search INSIDE the documents
By name and by content: PDF, Word, Excel, PowerPoint, OpenDocument, text, CSV, Markdown and HTML, with the matching passage highlighted. Filters by directory, category, tag, type, size, date and lock; results downloadable as one ZIP. Search never shows a file of a directory the user cannot read.
Access groups that inherit, and say why
A directory without a group is open; attach a group and only its members get in, with its four permissions. Groups inherit down the tree unless a subdirectory cuts inheritance. Members are users, Dolibarr user groups or rules (administrators, employees, job title). Module rights stay a ceiling, and the effective-rights matrix tells each user's rights AND the group that grants them.
Public links that give nothing away
Share a file or a whole directory with an expiry date, a download quota, a password (stored hashed) and preview and/or download. An unknown, revoked or expired link shows the SAME neutral page; ten wrong passwords in fifteen minutes close the door; every access is journalised with its IP address.
Dolibarr's attachments, filed automatically
Rules send the documents Dolibarr already keeps for projects, proposals, orders, invoices, contracts, interventions, shipments, third parties and products into the right directory, with sub-directory patterns such as Invoices/{year} or Customers/{thirdparty}. COPY or LINK; a source changed after the copy is reported as a conflict, a vanished source as missing. Templates create a folder per project, customer or order as soon as it is created, and a DMS button appears on the Dolibarr cards.
Categories, tags, chatter and activities
Hierarchical categories, coloured tags, a discussion thread on every file, planned activities (review, approval, call, deadline) with their owner and due date, notifications, and the insertion of a DMS document into a Dolibarr record.
Automatic clean-up, simulated first
Rules remove old versions, old journal lines, expired shares, obsolete thumbnails, inactive files and closed locks — after a dry run that says what WOULD go, never a locked file, never a file carrying the protection tag. An integrity check finds orphan objects and missing contents.
54 reports, exports and a REST API
54 reports in 10 families, a dashboard, a home widget, exports in CSV, Excel, Word, PDF and JSON, directory exports with their structure, ZIP archives, and a 45-route REST API that applies exactly the same access groups as the screens.
A demo that looks like a real office
One click installs the filing of an engineering firm — management, HR, client projects, accounting, quality, sales, Dolibarr attachments, personal spaces — with about 150 REAL documents (PDF, Word, Excel, CSV, Markdown, HTML, pictures), their versions, locks, shares, access groups, rules and a year of history. One click removes exactly that, and nothing of yours.

What the module does not do

  • No OCR. Scanned pictures are not read: an image is marked “not supported” by the index rather than pretended indexed.
  • No simultaneous co-editing of Office files. Text files are edited online; a Word or Excel file is downloaded, edited and uploaded again as a new version, under a lock.
  • It never deletes or changes a native Dolibarr document. It copies or links it; the native folders stay Dolibarr's.
  • No external object storage (S3, WebDAV): contents live on the Dolibarr server's disk or in its database.
  • No electronic signature workflow. Activities and tags such as “to sign” organise the work; they do not sign.

Putting it to work

  1. Activate the module: it creates its tables, data folders, settings and scheduled jobs.
  2. Grant the permissions to your user groups (the administrator has them all).
  3. Optionally install the demo data from the module setup to discover it on a real filing.
  4. Create your root directories in the explorer and upload your files.
  5. In Access, create your groups and attach them to the directories to protect.
  6. In Attachments, create your rules and run them once as a simulation, then for real.
  7. Enable Dolibarr's Scheduled jobs module so thumbnails, index, locks, shares and clean-up run by themselves.
